Important Notice: These Terms of Service constitute a legally binding agreement between you (the "Client") and VowsLive ("Company," "we," "us," or "our"). By booking our services, you acknowledge that you have read, understood, and agree to be bound by these terms.

1. Acceptance of Terms
By accessing our website at https://vowslive.com, submitting an inquiry, executing a service agreement, or making a payment to VowsLive, you accept and agree to be bound by these Terms of Service. If you do not agree to these terms, you may not use our services.
These terms apply to all services offered by VowsLive, including but not limited to the Essential Live Stream, Cinematic Multi-Cam 4K, and Luxury Broadcast Experience packages.
2. Definitions
- "Client" means the individual(s) or entity booking VowsLive services for a wedding or event.
- "Event" means the wedding ceremony, reception, or related activities for which live streaming services are contracted.
- "Services" means the live streaming, video production, broadcasting, and related technical services provided by VowsLive.
- "Package" means the specific tier of service selected by the Client (Essential, Cinematic, or Luxury).
- "Footage" means all video, audio, and multimedia content captured during the Event.
- "Deliverables" means the final products provided to the Client as specified in the service agreement.
- "Venue" means the physical location where the Event takes place.
3. Service Description
3.1 Overview
VowsLive provides professional wedding live streaming services using cinematic 4K technology. Our services enable remote guests to watch your wedding ceremony and reception in real-time through secure online broadcast platforms.
3.2 Service Packages
We offer three primary service tiers:
- Essential Live Stream ($1,800-$2,800): Single camera setup, professional audio, basic live streaming to one platform.
- Cinematic Multi-Cam 4K ($3,500-$5,500): Multi-camera coverage, advanced audio, professional switching, enhanced streaming quality.
- Luxury Broadcast Experience ($9,500-$14,000): Full broadcast production with multiple operators, premium equipment, custom graphics, recording, and comprehensive coverage.
Specific inclusions for each package are detailed in your service agreement and on our website at vowslive.com/packages.
3.3 Custom Packages
We offer customized service packages tailored to unique event requirements. Custom packages are subject to separate pricing and terms as outlined in individual proposals.
4. Booking Process
4.1 Initial Inquiry
Clients may submit booking inquiries through our website contact form, email, or phone. Initial inquiries do not constitute a binding agreement.
4.2 Consultation and Proposal
Following an inquiry, we will schedule a consultation to discuss your event details, technical requirements, and service preferences. We will then provide a detailed proposal outlining services, pricing, and terms.
4.3 Service Agreement
Services are officially reserved only upon:
- Execution of a written service agreement signed by both parties
- Receipt of the deposit payment as specified in Section 5
Your event date is not reserved until both conditions are met.
4.4 Availability
VowsLive services are subject to availability. We operate on a first-come, first-served basis for event dates. We reserve the right to decline bookings at our discretion.
5. Payment Terms
5.1 Deposit
A non-refundable deposit of 50% of the total service fee is required to secure your event date. The deposit must be paid within 7 days of signing the service agreement. Failure to pay the deposit within this timeframe may result in cancellation of your reservation.
5.2 Final Payment
The remaining balance (50% of total service fee) is due no later than 14 days before the event date. Events will not proceed if final payment has not been received by this deadline.
5.3 Additional Services
Any additional services requested after contract signing (extended coverage hours, additional equipment, extra deliverables) will be invoiced separately and must be paid within 7 days of invoice date or before the event, whichever comes first.
5.4 Payment Methods
We accept payment via bank transfer, credit card, PayPal, and certified check. Credit card payments may be subject to processing fees.
5.5 Late Payments
Late payments may incur a late fee of $100 or 5% of the outstanding balance, whichever is greater. VowsLive reserves the right to cancel services if payment terms are not met.
5.6 Travel and Accommodation
For events located more than 50 miles from our base of operations, reasonable travel expenses, accommodation, and per diem costs may apply. These will be clearly outlined in your service agreement.
6. Cancellation and Refund Policy
6.1 Client Cancellation
If the Client cancels the service agreement, the following refund schedule applies:
- More than 90 days before event: Deposit is forfeited; any additional payments refunded in full.
- 60-90 days before event: 75% of total service fee is forfeited.
- 30-59 days before event: 90% of total service fee is forfeited.
- Less than 30 days before event: 100% of total service fee is forfeited (no refund).
6.2 Postponement
If you need to postpone your event, we will make reasonable efforts to accommodate your new date subject to availability. One postponement is permitted without penalty if:
- Notice is provided at least 60 days before the original event date
- The new date is within 18 months of the original date
- Our services are available on the new date
Additional postponement requests may be subject to administrative fees.
6.3 VowsLive Cancellation
VowsLive reserves the right to cancel services in the event of:
- Non-payment by the Client
- Breach of these Terms of Service
- Force majeure events (see Section 15)
- Safety concerns for our crew
In cases where VowsLive cancels due to our inability to perform (excluding force majeure), all payments will be refunded in full.
7. Service Delivery
7.1 Live Streaming
Live streaming services will be provided during the ceremony and/or reception times specified in your service agreement. The stream will be broadcast to the platform(s) agreed upon (e.g., YouTube, Vimeo, private portal).
7.2 Stream Access
Clients will receive stream access links and instructions at least 48 hours before the event. It is the Client's responsibility to distribute these links to remote guests.
7.3 Recording and Edited Video
For packages that include recording and edited video deliverables:
- Raw footage recordings will be available within 7 business days
- Edited highlight videos will be delivered within 30 business days
- Full ceremony edits will be delivered within 45 business days
Delivery timelines may be extended during peak wedding season (May-October).
7.4 Delivery Format
Digital deliverables will be provided via secure online download or cloud storage. Physical media (USB drives, DVDs) may be provided for an additional fee.
7.5 Rush Delivery
Expedited delivery services are available for an additional fee, subject to availability and workload capacity.
8. Client Responsibilities
8.1 Accurate Information
Clients must provide accurate and complete information regarding:
- Event date, time, and location
- Venue contact information
- Event schedule and timeline
- Special requirements or restrictions
- Contact information for key vendors and venue coordinators
8.2 Venue Coordination
Clients are responsible for:
- Informing the venue that professional live streaming services will be provided
- Obtaining necessary permissions from the venue for our crew and equipment
- Securing any required venue insurance or liability waivers
- Communicating any venue restrictions or technical limitations
8.3 Schedule Adherence
Clients should make reasonable efforts to adhere to the event timeline provided to VowsLive. Significant delays may impact coverage and deliverables. Additional fees may apply if extended coverage beyond contracted hours becomes necessary.
8.4 Vendor Cooperation
Clients should inform other vendors (photographers, wedding planners, venues) about our services to ensure coordinated operations.
8.5 Guest Communication
Clients are responsible for communicating stream access information to their remote guests and ensuring guests understand how to access the broadcast.
9. Venue Access and Requirements
9.1 Site Access
Clients must ensure that VowsLive crew has:
- Access to the venue at least 2 hours before the ceremony start time
- Unrestricted access to areas where equipment setup is required
- Parking accommodations for crew vehicles and equipment transport
- Access to loading areas for equipment delivery
9.2 Technical Requirements
The venue must provide:
- Reliable high-speed internet connection: Minimum 10 Mbps upload speed for Essential packages; 25 Mbps for Cinematic; 50+ Mbps for Luxury packages
- Electrical power: Access to adequate electrical outlets (110V/15A minimum) near equipment setup locations
- Backup internet: While not required, backup internet connection is strongly recommended
9.3 Internet Connectivity Testing
VowsLive will conduct internet speed tests upon arrival. If internet connectivity is insufficient for live streaming, we will:
- Attempt to use our mobile hotspot backup (subject to cellular coverage)
- Work with venue staff to resolve connectivity issues
- If streaming is impossible due to connectivity, we will record the event for later delivery; no refunds will be issued if the connectivity issue is outside our control
9.4 Venue Restrictions
If the venue imposes restrictions that prevent us from providing services as contracted (prohibiting equipment, restricting crew access, etc.), the Client must notify us immediately. We will work to find solutions, but if services cannot be performed due to venue restrictions, no refunds will be issued unless the Client was unaware of such restrictions and they were not disclosed during booking.
10. Equipment and Crew
10.1 Professional Equipment
VowsLive uses professional-grade cameras, audio equipment, streaming encoders, and broadcasting technology. All equipment is maintained to industry standards.
10.2 Backup Equipment
We maintain backup equipment for critical systems to minimize the risk of technical failure.
10.3 Crew Conduct
Our crew members are professional, experienced, and trained to operate discreetly during your event. They will dress appropriately and conduct themselves with professionalism.
10.4 Equipment Safety
VowsLive is not responsible for damage to our equipment caused by venue conditions, guest interference, or other external factors. Clients agree to ensure that guests do not interfere with equipment setup.
10.5 Crew Meals
For events longer than 6 hours, we request that meals be provided to crew members. If meals are not provided, a meal allowance may be invoiced.
11. Intellectual Property Rights
11.1 Ownership of Footage
VowsLive retains copyright ownership of all raw footage, edited videos, and creative work product. The Client receives a perpetual, non-exclusive license to use the delivered footage for personal, non-commercial purposes.
11.2 Client License
Clients may:
- View, download, and store delivered footage
- Share footage with family and friends for personal viewing
- Upload footage to personal social media accounts
- Make backup copies for archival purposes
11.3 Restrictions
Clients may not:
- Sell, license, or commercially exploit the footage
- Edit or alter footage in a manner that misrepresents VowsLive's work
- Remove VowsLive watermarks or branding without written permission
- Grant third parties rights to the footage beyond personal viewing
11.4 Portfolio and Marketing Use
VowsLive reserves the right to use footage from your event for portfolio, marketing, promotional, and educational purposes unless the Client explicitly opts out in writing. We will use footage tastefully and professionally.
11.5 Music Licensing
Clients are responsible for ensuring that any music played during the event is properly licensed. VowsLive is not responsible for copyright claims related to music in the live stream or recordings. We recommend using royalty-free or properly licensed music.
11.6 Privacy Requests
If the Client requests that specific footage not be used for marketing purposes, we will honor such requests. Clients must notify us in writing before or within 30 days after the event.
12. Warranties and Disclaimers
12.1 Service Quality
VowsLive warrants that services will be performed with professional care and skill consistent with industry standards. We strive to deliver high-quality live streaming and video production.
12.2 Technical Limitations
While we employ professional equipment and experienced operators, live streaming and video production involve inherent technical risks. VowsLive does not warrant that:
- Streams will be uninterrupted or error-free
- All footage will be perfectly captured due to lighting, audio, or positioning constraints
- Internet connectivity will remain stable throughout the event
- Third-party streaming platforms will function without interruption
12.3 No Guarantees
VowsLive does not guarantee specific artistic results or that footage will meet subjective expectations. We work professionally to capture your event but cannot control all variables.
12.4 Disclaimer of Other Warranties
EXCEPT AS EXPRESSLY PROVIDED IN THIS AGREEMENT, VOWSLIVE MAKES NO OTHER WARRANTIES, EXPRESS OR IMPLIED, INCLUDING WARRANTIES OF MERCHANTABILITY OR FITNESS FOR A PARTICULAR PURPOSE. SERVICES ARE PROVIDED "AS IS."
13. Limitation of Liability
13.1 Total Liability Cap
TO THE MAXIMUM EXTENT PERMITTED BY LAW, VOWSLIVE'S TOTAL LIABILITY FOR ANY CLAIMS ARISING OUT OF OR RELATED TO THESE TERMS OR THE SERVICES PROVIDED SHALL NOT EXCEED THE TOTAL AMOUNT PAID BY THE CLIENT FOR SERVICES.
13.2 Exclusion of Consequential Damages
IN NO EVENT SHALL VOWSLIVE BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO:
- Loss of enjoyment or emotional distress
- Loss of memories or sentimental value
- Costs of re-creating the event
- Damages related to guest disappointment
- Loss of use or inability to share footage
13.3 Equipment Failure
VowsLive maintains backup equipment and employs best practices to minimize technical failures. However, we are not liable for equipment malfunction, failure, or damage that prevents or degrades service delivery, except in cases of gross negligence.
13.4 Third-Party Platforms
VowsLive is not responsible for failures, outages, or performance issues with third-party streaming platforms (YouTube, Vimeo, Zoom, etc.), internet service providers, or venue network infrastructure.
13.5 Backup Recordings
While we maintain redundant recording systems when possible, VowsLive is not liable if recordings are lost due to technical failure, equipment malfunction, or data corruption, except in cases of gross negligence.
13.6 Personal Injury and Property Damage
VowsLive maintains general liability insurance. Claims for personal injury or property damage should be directed to our insurance carrier. Contact us at legal@vowslive.com for insurance information.
14. Indemnification
14.1 Client Indemnification
Client agrees to indemnify, defend, and hold harmless VowsLive, its owners, employees, contractors, and agents from any claims, damages, losses, liabilities, and expenses (including reasonable attorneys' fees) arising from:
- Client's breach of these Terms of Service
- Venue restrictions or access issues not disclosed to VowsLive
- Copyright claims related to music or content played at the event
- Actions of Client's guests that damage equipment or interfere with services
- Misrepresentations made by the Client
- Any third-party claims related to footage or live streams (excluding claims arising solely from VowsLive's work product)
14.2 Cooperation
In the event of any claim, both parties agree to cooperate reasonably in defense and resolution.
15. Force Majeure
15.1 Definition
A "Force Majeure Event" means any circumstance beyond the reasonable control of VowsLive, including but not limited to:
- Natural disasters (hurricanes, earthquakes, floods, fires)
- Severe weather conditions that make travel or operations unsafe
- Pandemics, epidemics, or public health emergencies
- Acts of terrorism or war
- Government orders or restrictions
- Labor strikes or disputes
- Power outages or utility failures
- Transportation failures or road closures
- Serious illness or incapacitation of key crew members
15.2 Effect of Force Majeure
If a Force Majeure Event prevents VowsLive from performing services, we will not be liable for non-performance or delays. We will:
- Notify the Client as soon as reasonably possible
- Make reasonable efforts to overcome the Force Majeure Event
- Offer to reschedule services to a mutually agreeable date
15.3 Refund Policy for Force Majeure
If services cannot be rescheduled due to a Force Majeure Event:
- If the Force Majeure Event is caused by circumstances affecting VowsLive (crew illness, equipment failure due to disaster), a full refund will be provided
- If the Force Majeure Event is caused by circumstances affecting the Client or event (venue closure, government restrictions on gatherings), the cancellation policy in Section 6 applies
15.4 Weather Conditions
Outdoor events may be affected by weather. VowsLive will make reasonable efforts to protect equipment and continue services in adverse weather, but we reserve the right to cease operations if conditions pose safety risks to crew or equipment. Clients are encouraged to have indoor backup plans for outdoor ceremonies.
16. Modifications to Terms
16.1 Right to Modify
VowsLive reserves the right to modify these Terms of Service at any time. Updated terms will be posted on our website with a new effective date.
16.2 Notice of Changes
For existing clients with upcoming events, we will make reasonable efforts to notify you of material changes to terms that may affect your service agreement.
16.3 Acceptance of Modified Terms
Continued use of our services or website after changes are posted constitutes acceptance of the modified terms. Clients with existing service agreements will be governed by the terms in effect at the time their agreement was signed, unless otherwise agreed in writing.
17. Governing Law and Dispute Resolution
17.1 Governing Law
These Terms of Service shall be governed by and construed in accordance with the laws of the State in which VowsLive is registered, without regard to conflict of law principles.
17.2 Informal Dispute Resolution
Before initiating any formal legal action, the parties agree to attempt to resolve disputes through good-faith negotiation. Either party may initiate negotiations by providing written notice to the other party describing the dispute.
17.3 Mediation
If the dispute cannot be resolved through negotiation within 30 days, the parties agree to attempt mediation with a mutually agreed-upon mediator before pursuing litigation or arbitration.
17.4 Arbitration
Any dispute that cannot be resolved through negotiation or mediation shall be resolved through binding arbitration conducted by a single arbitrator in accordance with the rules of the American Arbitration Association (AAA). The arbitration shall take place in the jurisdiction where VowsLive is registered.
17.5 Class Action Waiver
Both parties agree that disputes will be resolved on an individual basis only. Class actions, class arbitrations, and representative actions are not permitted.
17.6 Venue and Jurisdiction
If arbitration is not applicable or is deemed unenforceable, any legal action shall be brought exclusively in the state or federal courts located in the jurisdiction where VowsLive is registered, and both parties consent to personal jurisdiction in such courts.
17.7 Attorneys' Fees
In any dispute resolution proceeding, the prevailing party shall be entitled to recover reasonable attorneys' fees and costs.
